Stackable Chairs for Hotel Conferences

Stackable chairs are a practical and space-efficient solution for busy venues. Hosting successful conferences in hotels requires careful planning, and one crucial aspect is arranging comfortable seating for participants.

What does stackable chairs mean?

Stackable chairs can be placed on top of each other when they are not in use for meetings. The chair legs are designed to nest around each other so that the stacked chairs are secure and stable.

How high can you stack chairs?

Most of the stackable chairs that we sell can be stacked ten chairs high. Overstacking chairs risks them falling over and injuring staff or even guests if the chairs are stored in the same room as the event takes place.

What are the benefits of stackable chairs?

Stackable chairs save space. They can be stacked against the walls of a meeting room or hall. They take up less room in storage spaces.

They can also be stacked onto chair trolleys for transport around the hotel. Stacked chairs can be trolleyed around a large conference hall close to where they need to be unloaded.

Choose the right stackable chairs

Before delving into how to set them up, it's essential to select chairs that are specifically designed for stacking. Not all chairs are stackable.

Look for lightweight, durable, and space-saving models that meet the aesthetic requirements of your conference space. Our stackable chairs have lightweight aluminium frames that are guaranteed to last and fall below heavy lifting limits.

Ensure that the chairs are comfortable for attendees who may be seated for extended periods. We provide ergonomic stacking chairs that are specially designed for your delegate’s comfort.

Establish a chair configuration plan

Create a floor plan for your conference space. Take into account factors such as the number of attendees, the layout of the room, and any equipment or furniture. The ideal chair configuration will maximize seating capacity. At the same time, it will maintain a comfortable and accessible environment.

Consider accessibility and aesthetics

Pay attention to accessibility requirements, ensuring that aisles and exits remain clear. Plan these spaces into the configuration at the start.

Additionally, consider the visual impact of the chair arrangement, as aesthetics contribute to the overall ambience of the conference space.

Set up a staging area

Not to be confused with a stage for the guest speakers! Although we supply speaker stages too.

Designate a staging area in the conference room for the initial setup of stacked chairs. This area will serve as a starting point where the chairs can be collected in batches.

The chairs can be moved from the staging area in stages and transported on the trolleys to the next area of the hall that is due to be set up. Ensure that the staging area is easily accessible to facilitate a smooth transition i.e. near a service door or storage area.

Organize chairs in rows

Begin unstacking chairs in rows according to the plan. Start with the rows that are at the front or furthest away from the staging area.

Align the chairs uniformly to create a neat and organised appearance. To help with alignment, we can supply connectors for our chairs to transform single chairs into a long row.

It also helps to maintain equal spacing between rows to facilitate easy movement for attendees and staff.

Use chair trolleys or carts

Invest in chair trolleys to streamline the transportation of stackable chairs from the storage room to the staging area and subsequently around the conference room.

These tools help reduce the physical strain on staff and ensure the chairs remain in good condition during transit.

Implement a numbering system

Assign numbers to each row and chair to simplify the setup process. A numbering system aids in tracking inventory, ensures accurate placement, and enables quick identification if adjustments are needed during the conference.

We supply chair numbering systems to help you keep track of your chairs and to help your guests find the right chair if you have designated seating.

Train staff on stacking procedures

Provide comprehensive training to your staff on stacking procedures. A well-trained team ensures efficient setup and breakdown. Efficiency will contribute to a positive conference experience for both organizers and attendees.

Remember you can adapt these steps based on the specific needs of your event and venue.

Stackable chairs are useful furniture for a hotel conference or event venue where large numbers of delegates have to be seated for a talk or seminar. Choosing the right lightweight, durable and comfortable chairs will improve your venue facilities.
